We are currently looking for a Business Support Assistant:

TS Lombard

TS Lombard is a leading economics and investment research firm dedicated to providing asset managers with genuinely independent and objective research across developed and emerging markets; the firm also employs political analysts. With offices worldwide and headquarters in London, our economic and strategy services are ranked in the top two firms globally in Europe’s leading research survey.  
We’re looking for a recent graduate (or equivalent) to join our dynamic team in London, providing exceptional administrative, operational, and analytical support to the Head of Finance and Administration, the CEO, and across the wider team.  
For the successful candidate this role can be seen as a stepping stone to promotion within either the finance and administration team, or in our expanding sales and marketing team, and so an excellent opportunity for an early career professional (or someone looking to take first steps into the industry). The role will allow the candidate to learn about the asset management industry, the firm’s client base, both through the nature of the support work provided and in helping the CEO and other senior management in their travel and meeting schedules. As a starter position the role will also include those office management tasks carried out centrally. 

The role will include

Supporting the business units, finance and IT; tasks will include:​​

  • Dealing with a wide range of enquiries, responding to queries and referring to Sales, Analysts or IT; providing high-quality administrative support service as required
  • Supporting the Sales team with client data to be updated on online platforms; assisting with populating/updating new client databases and other similar projects 
  • Planning and managing worldwide travel arrangements; developing and maintaining the travel budget on a rolling basis
  • Preparation and co-ordination of meetings and conference calls, including issuing agendas, assisting with presentations, arranging refreshments and minute-taking
  • Document management and filing, including archiving, housekeeping of electronic data systems in order to comply with GDPR
  • Negotiating contracts with office suppliers and travel companies; ordering supplies 
  • Mailing duties (postage/couriers)
  • Being responsible for building and facilities matters within the London office, such as liaising with cleaning and maintenance personnel

Supporting the managemnt team; tasks will include:

  • Reporting and analysing key trends for the CEO, Head of Sales and Finance Director
  • Diary management for the CEO and other directors
  • Processing incoming and outgoing mail and scheduling meetings as required
  • Arranging and planning external and internal meetings/trips for the CEO; assisting in processing of management expenses 
  • Organising company events (semi-annual offsite, Christmas party etc); 
  • Providing ad-hoc finance support to the Financial Director; assisting in regulatory compliance including taking on the roles of Health and Safety Officer etc
  • Greetings and looking after visitors 

You will need:

  • Demonstrable skills in supporting business management; data analysis and problem solving 
  • Excellent interpersonal skills and demonstrable experience of working with diverse stakeholders 
  • Strong organisational and time management skills 
  • To be creative yet analytical with a logical mind and an eye for detail 
  • To be reliable, trustworthy, and able to maintain confidentiality at all times 
  • To maintain and promote the highest standards of data quality ensuring reliable, accurate and timely information is available at all times 
  • Ability to prioritise, multi-task and co-ordinate workloads and work under pressure to meet deadlines 
  • Ability to work flexibly, thinking on your feet, anticipating management needs
  • Ability to work unsupervised and under own initiative 
  • A high level of commitment and a positive “can do” attitude
